How the PDF to UBL conversion works

A PDF invoice, even a clean export from your accounting software, carries no structured data a machine can process. UBL (Universal Business Language) is the opposite: an XML syntax of the EN 16931 European invoice model, the one the Peppol network runs on. One honest rule comes with the AI step: always review the output. Who asks for UBL, and why

The most common trigger is Belgian: since 2026, VAT-registered businesses in Belgium exchange structured invoices in Peppol BIS UBL over the Peppol network, so their accounts-payable systems are built around UBL and a plain PDF becomes the exception handled by hand. The same expectation is long established in the Netherlands and the Nordic countries, and some large buyers simply only ingest this one syntax.

In France, UBL is one of the three formats of the socle, alongside Factur-X and CII: a UBL invoice is legally a valid e-invoice, and the French exchange network accepts an uploaded UBL file. Your French customers will usually still expect Factur-X or CII; UBL is the answer for the partners who ask for it.
